1. General Terms

1.1 Acceptance of Terms By enrolling your child at Infant Heaven School, Takhatpur, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. These terms constitute a legally binding agreement between the parent/guardian and the school.

1.2 Amendment of Terms The school reserves the right to modify these terms and conditions at any time. Parents/guardians will be notified of any changes through written notice at least 30 days prior to implementation.

1.3 Governing Law These terms and conditions shall be governed by the laws of Madhya Pradesh, India, and any disputes shall be subject to the jurisdiction of courts in Takhatpur/Bilaspur.


2. Fee Structure and Payment Terms

2.1 Fee Categories

  • Admission Fee: One-time non-refundable fee paid at the time of admission
  • Tuition Fee: Monthly/quarterly/annual academic fee
  • Development Fee: Annual fee for infrastructure and facility improvements
  • Activity Fee: Fee for extracurricular activities, sports, and events
  • Transport Fee: Monthly fee for school bus service (if applicable)
  • Examination Fee: Fee for internal and board examinations
  • Late Fee: Penalty for delayed payments

2.2 Fee Payment Schedule

  • Tuition fees must be paid by the 10th of each month/quarter as per the chosen payment plan
  • Annual fees must be paid within 30 days of the academic year commencement
  • Transport fees are payable monthly in advance
  • Examination fees must be paid as per the schedule provided by the school

2.3 Payment Methods The school accepts payments through:

  • Cash payments at the school office
  • Bank transfer/NEFT/RTGS to the school’s designated account
  • Online payment through the school’s official payment portal
  • Cheques drawn in favor of “Infant Heaven School, Takhatpur”
  • UPI payments to the school’s registered UPI ID

2.4 Late Payment Policy

  • A late fee will be charged for payments made after the due date
  • Students may be excluded from classes if fees remain unpaid for more than 30 days
  • The school reserves the right to withhold academic records, certificates, and transfer certificates for non-payment of dues

3. Fee Receipts and Documentation

3.1 Receipt Issuance

  • Official receipts will be issued for all fee payments within 2 working days
  • Receipts will contain the school’s official seal, signature, and registration details
  • Digital receipts may be issued via email or SMS for online payments
  • Parents must retain all fee receipts for future reference and tax purposes

3.2 Receipt Details Each receipt will include:

  • Student’s name, class, and admission number
  • Payment date and amount
  • Fee category and academic year/month
  • Payment method and transaction reference (if applicable)
  • School’s official stamp and authorized signature

3.3 Duplicate Receipts

  • Duplicate receipts can be obtained upon written request
  • A nominal fee may be charged for issuing duplicate receipts
  • Original receipts lost or damaged must be reported immediately

4. Refund and Cancellation Policy

4.1 Admission Fee Refund

  • Admission fees are non-refundable under any circumstances
  • Development fees paid are non-refundable

4.2 Tuition Fee Refund

  • Withdrawal before the academic year starts: 50% refund of tuition fees
  • Withdrawal within the first month: 25% refund of tuition fees
  • Withdrawal after the first month: No refund of tuition fees
  • Monthly fee payments are non-refundable once the month has commenced

4.3 Transport Fee Refund

  • One month’s advance notice required for transport service discontinuation
  • Refund will be provided for unused months only
  • No refund for partial months

4.4 Refund Processing

  • All refund requests must be submitted in writing with supporting documents
  • Refunds will be processed within 30 working days of approval
  • Refunds will be made through the same payment method used for the original transaction

5. Fee Concessions and Scholarships

5.1 Sibling Discount

  • Second child: 10% discount on tuition fees
  • Third child and onwards: 15% discount on tuition fees

5.2 Merit Scholarships

  • Available for academically excellent students based on school criteria
  • Scholarship terms and conditions apply separately

5.3 Financial Hardship

  • Parents facing genuine financial hardship may apply for fee concessions
  • Each case will be reviewed individually by the school management
  • Supporting documentation required for consideration

6. Academic and Disciplinary Policies

6.1 Academic Requirements

  • Regular attendance is mandatory (minimum 75% attendance required)
  • Students must maintain satisfactory academic progress
  • Participation in school activities and examinations is compulsory

6.2 Disciplinary Actions

  • The school reserves the right to suspend or expel students for misconduct
  • No fee refund will be provided in case of disciplinary action
  • Parents are responsible for their child’s behavior on school premises

6.3 Uniform and Books

  • Students must wear the prescribed school uniform
  • Textbooks and stationery are to be purchased separately
  • The school may have tie-ups with specific vendors for uniforms and books

7. Health and Safety

7.1 Medical Emergency

  • Parents must provide updated medical information and emergency contacts
  • The school will arrange for immediate medical attention in case of emergencies
  • Medical expenses will be borne by the parents/guardians

7.2 Insurance

  • The school maintains basic insurance coverage for students during school hours
  • Parents are advised to maintain separate health insurance for comprehensive coverage

7.3 Safety Measures

  • The school implements appropriate safety and security measures
  • Parents must follow all safety protocols during school visits

8. Communication and Grievances

8.1 Communication Channels

  • Official communication will be through school diary, SMS, email, or written notices
  • Parents must ensure updated contact information is provided to the school
  • Regular parent-teacher meetings will be conducted as per the school calendar

8.2 Grievance Redressal

  • Any complaints or grievances should be addressed in writing to the school administration
  • The school will respond to grievances within 7 working days
  • An escalation process is available for unresolved issues

9. Data Protection and Privacy

9.1 Personal Information

  • The school collects and maintains personal information for educational and administrative purposes
  • Student and parent information will be kept confidential and used only for school-related activities
  • Information may be shared with authorized educational boards and government agencies as required

9.2 Photography and Media

  • The school may photograph or record students during school activities
  • Such media may be used for school promotional materials unless parents specifically object in writing

10. Miscellaneous

10.1 Force Majeure

  • The school shall not be liable for any delays or failures in performance due to circumstances beyond its control
  • This includes natural disasters, government orders, pandemics, or other unforeseeable events

10.2 Severability

  • If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall continue to be valid and enforceable
